Administration

The administration tools are designed for the administrator of IMS Integrated Management System Software. The administrator of the system has title “admin” after his name in the user list.

My settings

Every user can change their password in ‘my settings’. Users can keep their own contact information updated in IMS Integrated Management System Software. Alternatively the administrator can enter the data. In the ‘Single Sign-On’ environment information about user cannot be changed through IMS Integrated Management System Software.

User administration

User administration of IMS Integrated Management System Software consists of user groups and users. Through the user administration the user groups are being defined, for which rights are being allocated and granted. In the user administration it is also defined that in which user groups users belong to. One user can belong to one or several user groups. The administrator of the system authorizes and gives the rights to user groups to access the different sections of IMS Software. Within different sections, rights are permitted always on the level of which information is saved, that is the user rights of a document, the user rights of a record or the user right of a process map. When a new entry is made in the IMS Integrated Management System Software, the rights can be copied from one level to another, for example an indicator inherits the rights from the level on which it is drawn on. The amount of users or user groups is not limited in IMS Software.

Duties of administrator

The duties of the administrator are in the user administration to define user groups, create user names, add users in the user groups, and give rights for these user groups. The most time consuming phase is the last phase, where rights are given to browser the content created in the different sections of IMS Integrated Management System Software.

User rights and content

Planning the user rights should be made parallel to creating the content. Every time when a ‘save’-button is pressed in IMS Integrated Management System Software, it should be considered who is browsing the information, who is editing it and who approves the changes. By following these steps, the user groups are being defined together with the creation of the content and situation where ready content has to be reviewed again to allocate user rights is avoided. Testing phase should not be forgotten either: what each member of a user group sees and what a user is allowed to do in IMS. This prevents situations, where a user would see wrong documents or could accidentally delete content.

Single Sign-On

Log-in to IMS Integrated Management System Software takes place on a specific website page. Log-in page can be bypassed using the Windows log-in user name (Single Sign-On), if the user management of MS Active Directory (AD) is in use.

If a IMS Client has a network based on MS Active Directory (Windows 2000, 2003 or 2008 server), it is possible to do the user management of IMS Integrated Management System Software and the user identification in MS AD. The IMS Client is responsible for this connection and the terms of connecting IMS Integrated Management System Software to MS AD have to be agreed with IMS Business Solutions Ltd.

Activating Single Sign-On (SSO) functionality requires that it is possible to add own user name for IMS Integrated Management System Software in MS AD user list and that it is possible to conduct certain system commands on the server. This requires specific administrative rights to MS AD. IMS Business Solutions Ltd assists and guides in this.

If MS AD needs NTLMv2-autentication level (for example Windows Server 2008 or newer), Ioplex Jespa –library is needed in order to make SSO work properly. This is a commercial library. If needed, IMS Business Solutions Ltd purchases the license and invoices IMS Client.

Permitting user rights outside of the organization

User management enables to give viewing rights for external service providers, auditors, authorities and partners. Rights to access IMS Integrated Management System Software from outside can be granted on a specific level that collaboration requires in terms of data sharing. In the collaborative network the organization’s service and other processes can be described exceeding the boundaries of a single organization and indicators to measure the efficiency of these processes exceeding across multiple organizations can be drawn up.

System settings

System settings are important tools for the system administrator. Parameters effecting on different sections of IMS Integrated Management System Software can be set on or off here. Changes made here come in effect every user of IMS Integrated Management System Software.

Linking form

IMS Integrated Management System Software includes a standard linking form. Content from different section can be linked to each other. In example it is possible to link information to the processes relating to control and outcome of the processes. Also information from Internet regarding for example legislation can be linked in.

Data sources

In this section it is possible to create and test data sources. This tool is usually being used by advanced users. The user creates a connection and a query to external source and tests the connection and checks the validity of the imported values. After these phases, the external data source can be attached to the data sources of IMS Integrated Management System Software and indicators can be generated. These indicators are updated automatically in predefined intervals. The external source has to contain the measured value and the measuring time. If the external source imports multiple values, the interval of measuring has to be the same than the interval of the data source in IMS Integrated Management System Software.

Electronic manual and help tool can be found from the menu bar by clicking the ’help’ –button. The user manual can be printed out on a paper from the browser.
